The short version
- We mainly hold business contact details for the people we work with, talk to and market to.

- We don’t sell personal information, and you can unsubscribe from our emails at any time.
- We don’t use automated processes to make decisions about people. Every decision is made by a person.

Who this policy covers
This policy applies to personal information we handle about visitors to tfiq.co, people who contact us, our clients’ staff, prospective clients, event attendees, suppliers and job applicants. “We”, “us” and “TFIQ” mean Transform LogiQ Pty Ltd.
What we collect
Depending on how you deal with us, we may collect:
- business contact details, such as your name, job title, organisation, work email address and phone number
- what you tell us in enquiries, emails, meetings and calls
- records of our work with your organisation, including meeting notes and project correspondence
- billing details, such as the names and contact details on invoices (we don’t store card details)
- event and webinar registrations
- job applications, including your CV and referee details
- website usage information, such as your IP address, browser and device type, the pages you visit and the organisation your network address is registered to
We don’t ask for sensitive information, such as health information. If you choose to share it with us, we use it only for the reason you gave it.
You can deal with us without identifying yourself where that is practical, for example when you browse our website or ask a general question. We may not be able to provide our services if you don’t give us the details we need.
How we collect it
Most of the information we hold comes directly from you: through our website forms, by email or phone, in meetings and at events. We also collect information:
- from your organisation, when it engages us and names you as a contact
- from B2B contact data providers and public sources, such as LinkedIn, company websites and business registers
- from people who refer you to us
- through cookies and similar tools when you use our website
If we collected your details from someone other than you, you can ask us where they came from.
How we use it
We use personal information to:
- respond to enquiries and registrations
- plan, deliver and manage our services
- invoice clients and keep our accounts
- send insights, event invitations and service updates to people in roles our work is relevant to
- understand how our website is used and improve it
- assess job applications
- protect our systems and meet our legal obligations
When we work for our clients
Some engagements, such as privacy impact assessments, data discovery and data loss prevention work, give us access to personal information our clients hold. In that work we act on our client’s instructions and under the confidentiality and security terms of our contract with them. We use that information only for the engagement and return or destroy it as the contract requires. Our client’s own privacy policy explains how they handle your information, so please contact them with questions about it.
AI and automated decisions
We use AI tools to help with research, analysis and drafting. A person reviews all output before we rely on it or send it. Our AI tools are business services whose providers do not use our data to train their models.
We don’t use automated processes to make decisions about people. Every decision that affects you is made by a person.
Marketing
We send business emails about our insights, events and services to people whose roles our work is relevant to. Every email includes an unsubscribe link, and you can also ask us to stop at any time by emailing hello@tfiq.co. We comply with the Spam Act 2003 (Cth), and we never sell or rent personal information.
If you enquire through our website, we won’t add you to a mailing list without asking.
Who we share it with
We share personal information only when we need to, with:
- service providers that host or support our systems, including website hosting, email and productivity, customer relationship and marketing, analytics, accounting and AI tools
- associates and subcontractors working with us on an engagement, under confidentiality obligations
- our professional advisers, such as lawyers, accountants and insurers
- regulators, courts or law enforcement, when the law requires or authorises it
- a buyer of all or part of our business, under confidentiality obligations
We expect our service providers to protect personal information and use it only to provide their services to us.
Overseas storage
Some of our service providers store or process information outside Australia, mainly in the United States. We choose established providers and take reasonable steps to make sure they handle personal information in a way that is consistent with the Australian Privacy Principles.
Cookies and website analytics
Our website uses cookies and similar tools to:
- make the site work, for example by keeping forms secure
- measure how visitors use the site, using Google Analytics
- identify the organisations that visit, by matching network addresses to company names
Videos on our site play in YouTube’s privacy-enhanced mode. You can block or delete cookies in your browser settings, and you can opt out of Google Analytics with Google’s browser add-on. Some parts of the site may not work as well without cookies.
Keeping it secure
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, using administrative and technical safeguards suited to the information. If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner (OAIC) as the Notifiable Data Breaches scheme requires.
How long we keep it
- Client contacts and engagement records: for as long as your organisation is a client of TFIQ.
- Invoices and tax records: for seven years after the end of the financial year they relate to.
- Enquiries, prospective clients, event attendees and job applicants: for 24 months after our last contact with you.
After that, we delete or de-identify the information unless the law requires us to keep it.
Seeing, correcting or deleting your information
You can ask to see the personal information we hold about you, have it corrected or have it deleted. Email hello@tfiq.co and we will respond within 30 days. There is no charge to make a request. We may need to confirm your identity first. If we can’t do what you ask, for example because the law requires us to keep a record, we will explain why in writing.
Questions and complaints
If you have a question or concern about how we handle your personal information, please contact our Privacy Officer. We will acknowledge your complaint, look into it and give you our response in writing within 30 days.
If you’re not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
