Microsoft Copilot and M365 data risk: make Copilot safe to scale

Copilot sees everything a user can, including what you forgot existed. If your Microsoft 365 data isn’t governed, Copilot will surface that risk at speed and scale. We find what Copilot can reach and fix the permissions, labels and controls before you roll it out widely.

Before you scale licences

Visibility

What Copilot can see in SharePoint, OneDrive, Teams and Exchange

Permissions

Oversharing, broken inheritance and stale sites

Protection

Sensitivity labels and DLP aligned to Copilot use

Why this matters now

Copilot doesn’t create new access. It works within the permissions each user already has, and it makes everything they can reach instantly searchable and summarised. Oversharing, weak permissions and unlabelled sensitive data that sat quietly for years become visible overnight.

Oversharing at scale

Permission drift and organisation-wide links expose sensitive content in Copilot responses.

Unknown sensitive data

Unclassified personal, HR, financial and board information can’t be protected or governed.

DLP misalignment

Data loss prevention policies weren’t designed for how people use Copilot.

Where Copilot exposure usually comes from

  • SharePoint sites and Teams shared with “everyone” or the whole organisation
  • sharing links that grant access to anyone in the company
  • broken permission inheritance on old project and department sites
  • inactive sites, Teams and OneDrive accounts that still hold sensitive files
  • guest and external users with more access than intended
  • sensitive documents with no sensitivity label or retention policy

M365 Product Owner

Our approach

See what Copilot sees

Assess sharing, permissions and sensitive content across SharePoint, OneDrive, Teams and Exchange, prioritising what matters most.

Contain the urgent risks

Fix the worst oversharing quickly and use temporary controls, such as limiting which sites Copilot can search, while the clean-up runs.

Label and protect

Design sensitivity labels, retention and DLP in Microsoft Purview so protection follows the data and suits Copilot use.

Govern AI use

Acceptable use guidance, prompts and personal information rules, and clear ownership for sites and content.

Monitor and improve

Reporting that shows exposure falling over time and catches new oversharing early.

Frequently asked questions

Does Copilot bypass Microsoft 365 permissions?

No. Copilot respects the permissions each user already has. That is exactly why oversharing matters: anything a user can technically open, Copilot can find and summarise for them.

What is Copilot oversharing?

Oversharing is when people have access to content they don’t need, usually through broad sharing links, organisation-wide groups or old sites nobody tidied up. Copilot makes that access easy to use, so sensitive information can appear in answers to ordinary questions.

Do we need extra Microsoft licences?

Not necessarily. We work with the Microsoft 365 and Purview capabilities you already have and tell you where extra capability would make a real difference.

Should we pause our Copilot rollout?

Usually not. A targeted readiness assessment lets you continue with lower-risk groups while you fix the exposures that matter before scaling.

How does this relate to AI governance?

Copilot readiness is often the first practical step in a wider AI governance program, covering acceptable use, accountability and risk assessment for other AI tools.

Does Copilot use affect our privacy obligations?

It can. If Copilot or other AI tools are used to make or substantially inform significant decisions about people, the Privacy Act transparency rules that start on 10 December 2026 may apply. See our automated decision-making guide.
